Privacy Policy
How the private sync handles information.
This Privacy Policy explains how Bigbie HVAC LLC (“Bigbie,” “we,” “us,” or “our”) handles information through Bigbie Memory Chap Sync (“Application”). The Application is an internal tool and is not offered to the general public.
1. Information handled
With authorization from a QuickBooks Online company administrator, the Application may handle:
- OAuth credentials, company identifiers, and authorization status;
- company, customer, invoice, item, payment-status, and transaction metadata;
- service addresses, including the configured “Job Address” custom field;
- invoice line descriptions, service notes, equipment details, dates, and identifiers;
- synchronization state, file hashes, validation results, and sanitized diagnostic logs.
The Application is not designed to collect bank-login credentials, full payment-card data, or consumer credit information.
2. How information is used
We use information only to authenticate authorized access, retrieve and normalize business records, create internal service-history records, prevent duplicates, support search and troubleshooting, verify backups, and protect the integrity of Bigbie's Memory Chap database.
3. No sale or advertising
We do not sell personal information. We do not use QuickBooks data for targeted advertising, data brokerage, lending, investment services, or unrelated profiling.
4. Storage and security
OAuth secrets and tokens are intended to be stored in the authorized Mac's system credential store. Synchronized records, exports, state, and backups may be stored on company-controlled devices and in Bigbie's configured Apple iCloud Drive. We use access controls, limited logging, backups, validation, and atomic file replacement intended to reduce unauthorized access or corruption. No security method is guaranteed to be perfect.
5. Service providers and disclosures
Information may be processed by Intuit to provide QuickBooks Online access and by Apple when Bigbie uses iCloud Drive. When an authorized user asks Memory Chap a question, relevant record excerpts may be sent to Bigbie's configured OpenAI API account to generate an answer. These providers process information under their own terms and privacy practices. We may also disclose information when required by law or to protect rights, safety, and system security.
6. Retention and deletion
Business records are retained according to Bigbie's operational, warranty, accounting, legal, and backup needs. OAuth access may be revoked through Intuit or by an authorized administrator. Deletion requests are evaluated against legal and business-record retention duties and verified backup requirements.
7. Data choices and access
Authorized company personnel may request access, correction, export, or deletion review by contacting us. Because the Application stores business service history, some records may need to remain unchanged for accounting, warranty, safety, fraud-prevention, or legal reasons.
8. Children's information
The Application is a business tool and is not directed to children. We do not knowingly use it to collect information from children.
9. Changes and contact
We may update this policy when the Application or applicable requirements change. The effective date above identifies the current version. Privacy questions may be sent to dusty@bigbiehvac.com.
